Of the some 5 million Palestine refugees registered with our Agency, roughly one third live in 58
recognized refugee camps in Jordan, Lebanon, Syria, the West Bank and Gaza Strip.
Over the years, these camps have transformed from temporary 'tent cities' into hyper-congested
masses of multi-storey buildings with narrow alleys. The camps are considered to be among the
densest urban environments in the world, but because camp structures were built for temporary 
use, over the decades the buildings have become overcrowded, critically substandard and in many
cases life-threatening. Launched in 2007 to address the deteriorating environments of the camps,
the Infrastructure and Camp Improvement Programme (ICIP) adopts an integrated,
comprehensive, participatory and community-driven improvement of the built environment of
Palestine refugee camps.

The main responsibilities include:
 Maintaining efficient organization of the Director’s office including handling his/her schedule,
attendance records, files, duty and private plans, screening and prioritizing visitors and
telephone callers, setting up meetings and interviews;
 Arranging supervisor’s frequent missions, travel arrangement, briefing folders, visas and hotel
reservations; providing long distance administrative support during his/her travel updating
him/her on matters requiring immediate attention;
 Controlling and prioritizing a heavy inflow and outflow of documentation exercising primary
check on their accuracy and completeness before submitting them to his/her supervisor;
 Receiving, screening, logging and routing correspondence; researching and attaching
necessary background information and maintaining follow up system for pending matters
ensuring timely follow up of all tasks assigned by the supervisor, bringing urgent and pending
matters to supervisor’s attention, and producing follow up reports;
 Following up actively on all instructions and decisions made by the Director to the Division
Chiefs and Section Heads within the department or in the Field to make sure that the assigned
tasks by the Director are accomplished within deadlines;
 Distributing special assignments to secretaries of the Departments, as required, proof-reading
and clearing correspondence originated by the Department staff and forwarding them for the
Director’s signature;
 Preparing a schedule for supervisor’s visitors from inside and outside the Agency and
facilitating their mission in coordination with the Director and/or with concerned
departments/programmes, liaising with government authorities, embassies and other UN
organizations;
 Attending supervisor’s meetings, preparing minutes and/or summaries of meetings and
undertaking and monitoring follow-up actions, when required;
 Drafting correspondence of administrative nature and preparing regular and periodic
operational reports;
 Coordinating with Budget Division on issues relating to budget, preparing special service
agreement contracts and temporary assistance requests.
Conditions of service
Option One: Fixed Term Appointment, Grade 13
Monthly basic salary JD 773.50. Other benefits include monthly Provident Fund contribution (15%
of basic salary paid by the Agency), compulsory medical insurance, 30 days of annual leave, and
dependency allowance (if applicable).
Option Two: Limited Duration Contract (LDC- Band E)
Monthly basic salary starting from JD 816.50 depending on the professional knowledge and
experience. Other benefits include compulsory medical insurance, 30 days of annual leave pro-rated
to the duration of the contract where less than one year, and family allowance (if applicable).
To qualify for this position, you will need:
Education A university degree from an accredited educational institution in business
administration, public relations or a relevant area;
Office business training;

Work
experience
Three years of relevant experience, preferably in administration, human
resources and/or office management;
Excellent knowledge in computer utilities such as word processing, spread
sheets, database and power point.
Language(s) Excellent command of written and spoken English and Arabic.
Desirable qualifications:
 Knowledge of the Agency’s rules and regulations;
 Knowledge of other UN languages;
 Prior experience with other United Nations Organizations.
You will also need to demonstrate the following competencies:
 Demonstrating skills in team work;
 Flexibility and willingness to learn new skills through knowledge of modern office procedures;
 Precision at work specifically in proof reading; careful with details;
 Ability to research and summarize background material;
 Excellent organizational skills;
 Ability to follow up on issues actively;
 Sound judgment on importance/priority/confidentiality of issues.
